Trasio Inc. (“Trasio,” “we,” “us,” or “our”) provides operational and workforce management software and related services for convenience and fuel retailers. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use our websites, mobile applications, web applications, customer portals, and related services (collectively, the “Services”).

If you use Trasio through your employer or another organization, that organization controls much of the information processed through the Services. Section 2 explains this relationship.

1. Information We Collect

The information Trasio processes depends on how you interact with the Services and which features your organization uses.

Account and Contact Information

We may process information such as your name, email address, telephone number, organization or store affiliation, user role and permissions, and account and authentication information.

Workforce Information

When an organization uses Trasio for workforce management, the Services may process information such as:

Photographs, Documents, and Other Content

Depending on the features enabled by a customer, Trasio may process photographs associated with timekeeping activity, profile photographs, invoices, fuel-delivery documents, store reports, uploaded photographs or files, screenshots submitted for support, and other documents or content provided through the Services.

Some business documents may contain personal information, such as an employee name appearing on a store or shift report.

Trasio does not use facial-recognition technology or create biometric templates from timekeeping photographs.

Customer Operational Information

Customers may provide operational and business information through Trasio, including information relating to store operations, sales, cash reconciliation, fuel operations, deliveries, schedules, and other business activities. Much of this information relates to a business rather than an individual. This Privacy Policy applies to such information only where it constitutes or contains personal information.

Device, Authentication, and Technical Information

When you use the Services, Trasio and its service providers may process technical information such as browser and device type, user-agent information, application version, session and authentication information, notification-related device identifiers, request and security logs, and IP addresses processed in connection with infrastructure and server operations.

Communications, Support, and Website Information

If you contact us, request a demo, or otherwise submit information through our website or support channels, we may receive your name, business contact information, information about your organization, messages, screenshots, files, and other information you choose to provide. We may use third-party service providers to operate forms and related website functionality.

2. Information We Process for Our Customers

Organizations use Trasio to manage their own operations and workforce. When personal information is contained in data that a customer provides to or processes through Trasio (“Customer Data”), the customer generally determines why that information is collected and how it is used.

Where applicable under privacy law, the customer acts as the business or controller of that information, and Trasio acts as its service provider or processor. Trasio processes Customer Data to provide the Services, including as directed by the customer and its authorized users.

If you are an employee or other user whose account was provided by an organization and you have a question about your workforce records, your organization is generally the appropriate first point of contact.

Trasio also processes certain information for its own legitimate business purposes, such as administering customer accounts, maintaining and securing the Services, providing support, operating our website, and complying with legal obligations.

We use personal information as reasonably necessary to operate and provide the Services, including to:

We do not sell personal information. We do not use personal information for third-party behavioral advertising. The Trasio mobile application does not currently contain third-party advertising SDKs.

5. Photographs and Timekeeping

Customers may enable features that associate a photograph with a clock-in or clock-out event. Authorized customer personnel may review these photographs as part of timekeeping and attendance management.

Trasio does not use these photographs for facial recognition, does not create facial-geometry or biometric templates from them, and does not use them for automated biometric identification.

Punch photographs are generally removed from active systems within 90 days, or sooner where a customer configures a shorter retention period. Information removed from active systems may remain temporarily in infrastructure backups, snapshots, or similar recovery mechanisms where applicable, until those copies expire or are replaced through normal system operations.

A customer may also maintain a profile photograph associated with an employee or user account.

6. AI-Assisted and Document Processing

Certain Trasio features may use third-party document-processing or artificial-intelligence service providers to extract or process information from documents submitted through the Services. For example, these technologies may be used to read information contained in store reports, invoices, delivery documents, or similar materials.

Documents may contain personal information, such as employee names appearing on business records. These service providers process information on Trasio’s behalf to provide the applicable functionality.

7. How We Disclose Information

Your Organization

If you use Trasio through an employer or other organization, authorized users of that organization may access information related to your account, schedule, timekeeping activity, workforce records, and other information made available through the Services. Access depends on the customer’s configuration and user permissions.

Service Providers

We use service providers to help operate the Services, including providers of cloud infrastructure and hosting, database and data-storage services, mobile notifications, website forms, document processing and artificial intelligence, communications, and other technical services. These providers may process personal information as necessary to perform services for Trasio.

Customer-Authorized Integrations

Where a customer chooses to connect Trasio with another service, account, or system, information may be exchanged with that service as necessary to provide the requested integration.

Legal, Safety, and Corporate Transactions

We may disclose information where reasonably necessary to comply with applicable law or legal process; enforce our agreements; protect the rights, property, or safety of Trasio, our customers, users, or others; investigate fraud, abuse, or security incidents; or in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar corporate transaction.

We do not disclose personal information to third parties for their own advertising or marketing purposes.

8. Data Retention

We retain personal information for as long as reasonably necessary to provide the Services, fulfill the purposes described in this Privacy Policy, comply with contractual or legal obligations, protect the security and integrity of the Services, resolve disputes, maintain appropriate business and audit records, and enforce our agreements.

Retention periods vary depending on the type of information, the customer’s configuration, the nature of the Services, and applicable legal requirements.

When a customer stops using Trasio, Customer Data may be retained for a limited period in accordance with our retention practices and then deleted or de-identified, unless continued retention is required or permitted for legal, security, contractual, or other legitimate purposes.

Information removed from active systems may remain temporarily in infrastructure backups, snapshots, logs, or similar recovery mechanisms where applicable until those copies expire or are replaced through normal system operations.

9. Account and Data Deletion

Users may request deletion of their Trasio app account through available account-management features or through the account and data deletion process described at trasio.app/data-deletion.

Deleting or deactivating an individual user account does not necessarily require deletion of all records associated with that user. For example, an employer may need to retain timekeeping, attendance, transaction, audit, or other business records for legal, payroll, security, recordkeeping, or dispute-resolution purposes.

Where Trasio processes information on behalf of a customer, requests concerning Customer Data may need to be handled through that customer. We will delete or de-identify information where appropriate and required, subject to applicable legal and legitimate retention requirements.

10. Your Privacy Rights

Depending on where you live and the circumstances in which Trasio processes your information, you may have rights relating to your personal information, including rights to request access, correction, deletion, or information about how your personal information is used or disclosed. These rights may be subject to exceptions under applicable law.

Workforce Information

If Trasio processes your information on behalf of your employer or another customer, please contact that organization first regarding access, correction, deletion, or other requests relating to your workforce records. Trasio will assist customers with appropriate privacy requests as required by applicable law and our contractual obligations.

Information Controlled by Trasio

For personal information Trasio processes for its own purposes, you may submit a request to support@trasio.app. We may need to verify your identity before completing a request and will respond within the period required by applicable law.

11. California Privacy Rights

California residents may have additional rights under applicable California privacy laws, including rights concerning access, correction, deletion, and information regarding the collection or disclosure of personal information.

Trasio does not sell personal information and does not share personal information for cross-context behavioral advertising.

When Trasio processes workforce or other Customer Data on behalf of a customer, the customer is generally responsible for responding to privacy requests concerning that information. Trasio will provide assistance as required by applicable law and our agreements with the customer.

12. Cookies and Website Technologies

Trasio uses cookies and similar technologies where necessary to operate authenticated portions of the Services, maintain user sessions, and provide security.

We do not currently use third-party advertising cookies in the Trasio application or use cookies to sell browsing activity to advertising networks. Third-party services used by our website, such as form providers, may process technical information necessary to provide their services.

13. Security

Trasio uses administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. These measures include protections designed to secure information during transmission and restrict access to information based on legitimate business needs.

No method of electronic transmission, storage, or security can be guaranteed to be completely secure. If a security incident affects personal information, Trasio will provide notifications to customers, individuals, or authorities where required by applicable law.

14. Children and Minors

The Services are not directed to children under 13. Customers are responsible for determining whether and under what circumstances individuals under 18 may use the Services and for complying with applicable employment, privacy, notice, consent, and other legal requirements relating to their workforce. Trasio processes workforce information on the customer’s behalf as necessary to provide the Services.

15. Processing Location

Trasio is based in the United States. Personal information may be processed in the United States and in other locations where Trasio’s service providers operate. Where required, we take steps designed to ensure that personal information receives appropriate protection when processed outside the jurisdiction in which it was originally collected.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time as our Services, technology, legal requirements, or privacy practices change. When we make changes, we will update the “Last Updated” date at the top of this page. If we make material changes, we may provide additional notice where appropriate or required by applicable law.
